This policy explains how Dodonai, LLC (“Dodon.ai,” “we,” “us,” or “our”) handles data from your QuickBooks Online company when you connect it to a Dodon.ai service. It applies to the Dodonai app on the Intuit platform. Our Website Privacy Policy covers this website, and your engagement agreement and our Terms & Conditions cover the rest of our services.
In short
When you connect a QuickBooks Online company to a Dodon.ai service, we use its data only to do the work you engaged us for, we keep it in infrastructure dedicated to your engagement, and you can disconnect at any time.
1. How the connection works
Some Dodon.ai services, such as accounts payable automation, connect to your QuickBooks Online company through Intuit’s authorization screen. A person with authority over that company must approve the connection, and each connection covers only the company that was approved. We request access to QuickBooks Online accounting data only.
2. What we access
With your approval we access the accounting data in the connected company that the service needs: your chart of accounts, classes, vendors, and the bills and expenses we create for you, including the source documents (such as invoice PDFs) we attach to them. We do not request or store your Intuit user ID or your QuickBooks password.
3. How we use it
We use this data only to provide the service you engaged us for: for example, to code incoming invoices to your accounts and classes, to post bills or expenses that your staff have reviewed and approved, to attach the source document, and to record the QuickBooks transaction ID so each bill is posted once. We do not sell this data, use it for advertising, or share one customer’s data with another customer.
4. AI processing
Some services use AI models to read invoices and suggest coding. Where they do, the data may be processed by our model providers under agreements that prohibit them from using it to train their models.
5. Where it is stored and how it is protected
Your accounting data and connection credentials are stored in the United States, in cloud infrastructure dedicated to your engagement. Connection tokens are encrypted and kept in a secrets manager, never in application code. Access is limited to the people and systems that run your service. Dodon.ai is SOC 2 certified and HIPAA compliant.
6. Disconnecting
You can disconnect at any time from your QuickBooks Online company (in its list of connected apps) or by asking us. When you disconnect, we revoke and delete the connection tokens. Bills already posted stay in your QuickBooks company, because they are your records.
7. Retention
We keep accounting data received through the connection only as long as needed to provide the service and meet our contractual and legal obligations. We delete it when your engagement ends, unless you ask us to return it or the law requires us to keep it.
8. Changes to this policy
If we change this policy, we will update the date above. If a change is material, we will tell the customers with an active connection before it takes effect.
9. Contact
Questions about this policy or about a connection can be sent to hello@dodon.ai.
